10 days to our first meet
This email is primarily for our new families, but returning families, it’s a good review for you too. I know everyone is in the throws of the last week of school and it is busy for everyone, but our first meet is only 10 days away (Thursday the 28th).
Upcoming schedule:
Tuesday & Wednesday - normal practices
Thursday (May 21) - no practice for last day of school
Friday (May 22) - morning practice starts
Monday (May 25) - no practice for Memorial Day
Tuesday (May 26) - afternoon practices begin for those registered & swimmer declarations due for Meet 1.
Thursday (May 28) - Meet 1 Away @ Mayfair (more info to follow)
Inclement Weather Calls:
Looking ahead this week it looks like we might get some summer storms so I wanted to touch on how we will communicate cancellations or changes for inclement weather. If we can, we will make the call as early as possible, but sometimes it looks clear and suddenly we get thunder so sometimes we have to make a call on deck or after practice starts.
The first message will go through the Swimtopia app’s push notification and the second will be an email sent through swimtopia. I know not everyone has their emails on all the time so be sure you download the app and have those notifications turned on.
Declaring Swimmers:
This is the term we use throughout the season that essentially breaks down to letting us know your swimmer is available to swim in a meet and any information you need to share with coaches. This all happens in Swimtopia! (the same site you used to register).
For Meets 1-4, we will need swimmers declared by Tuesday at the end of practices so the coaches can get lineups ready in time to swap with the opposing team. Meet 5 is on a Tuesday so we will need that one on Friday.
How to declare - it is quite easy, you will go to the swim meet and then mark your swimmer(s) as available or not and there is a space to leave any notes for the coaches. We also have some videos that will walk you through it on mobile web, computer, or mobile app. Those are on our website at: https://woodfieldwaves.swimtopia.com/helpful-videos
If you know ahead of time that there are meets you won’t be available for - example vacation scheduled) go ahead and declare for that meet as unavailable so you are done ahead of time. The whole season is open for you to declare.
Swimtopia App:
I highly recommend downloading the app. We will use it for last minute communications with weather delays through their push notifications. You will also see your swimmer(s) events on the app and be able to sign up for volunteer slots. It is easy to use and the app is free. There is a pro option if you elect to do that, but the primary is to have the free app and have your notifications turned on. This app is on both apple and android. For more information about the app, checkout swimtopia’s website: https://www.swimtopia.com/products/swim-meet-app/
I think that is all for now. There will be more emails coming late in the week and early next week but I am trying to avoid hassling everyone over the holiday weekend. As always, if you have questions, don't hesitate to ask!
